Here is what you will get to do:
1. Greets external and internal customers with professionalism and courtesy, conveys information and answers general questions about Scottsdale Arts events and performances. Directs visitors as needed.
2. Answers telephones, transfers calls and takes messages.
3. Processes mail (incoming and outgoing). Collect funds and maintain log for postage, copy usage, etc., and maintains mail room order.
4. Assist in routine administrative duties of the department including making copies, ordering supplies, filing, correspondence, reports and other documents as business needs dictate. Ensures Annex Conference Room is straightened and ready for meetings.
5. Provides administrative functions for the Human Resources Department including
a. Filing, correspondence, and other support functions including maintenance of personnel files
b. Oversight of the Maricopa County TRP Reduction Plan
c. Recruitment functions related to posting positions, assisting with scheduling interviews, onboarding and processing of new hire paperwork in HRIS system
d. Offboarding functions related to communications to staff, answering questions, processing paperwork in HRIS system
e. Facilitating employee recognition programs including EOM, Impression badges, and monthly engagement
6. Facilitate and support the Scottsdale Arts Internship program including coordination with Division Directors, interviewing, hiring, onboarding, organizing tours and acting as liaison between students and their programs.
7. Assist with Organization-wide event planning for quarterly employee meetings, annual parties, engagement and training workshops, and other events as they arise.
8. As assigned or requested will perform special projects or routine administrative work for other divisions of the organization, including SALI, SMoCA, SCPA, Marketing and Development.
9. Performs other duties as required.

1. Education: High School Degree or equivalent.
2. Experience: Minimum 2 years’ experience in office, clerical or customer service oriented position. Human Resources experience preferred
3. Attributes:
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
• Must possess strong oral and written professional communication skills to respond to inquiries from both internal and external customers. Superior public relations and interpersonal skills required.
• Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
• Familiarity with various types of office equipment is required. Intermediate proficiency in computer software programs such as word processing, spread sheets, data base and internet research.
• Ability to forecast schedule to meet needs of organization or departments served; plan for reoccurring events and project needs to ensure that departments run smoothly.
• Ability to maintain highest level of confidentiality possible in a workplace setting.
4. Work Environment: Must be able to stand and walk for short periods of time; sit for long periods of time; use hands to finger, handle, or feel; reach with hands and arms; occasionally stoop, kneel, crouch or crawl; talk and hear. Must be able to occasionally lift up to 25 pounds. Specific vision abilities include close vision, distance vision, and peripheral vision. Specific hearing abilities include ability to hear over phone and in person.
